Parking Lot Striping and Numbering

As you know, the Community recently striped all parking spots at Pineland Heights. The landscaper will be coming through in the next few weeks to place the unit numbers in each of these parking spaces. As a friendly reminder to all owners and their tenants, per the covenants each unit owns two parking spaces at the Community.

2012 Assessment and Payment Options

At the Pineland Heights Owners Association Inc. Annual Meeting of the members, the 2012 operating budget was approved by a vote of the members. Your assessment for 2012 will remain the same at $65.00 per month. Please remember that your monthly assessment is due on the first (1st) of each month, and considered late after the fifteenth (15th) of each month.

There will also be a special insurance assessment for 2012, which will be billed out via paper statement in February 2012 and will be due on March 1, 2012.

Your 2012 coupon booklet has been ordered and if you have not already received it, you should receive it shortly. If for any reason you do not receive your booklet before the end of the month, please notify us immediately.

Just as a reminder, you can pay your assessment in several ways: 1) Detach the appropriate sheet from your coupon book and mail your payment to the bank’s lockbox at Post Office Box 912, Columbia, SC 29202; 2) Go online to www.cmgcharleston.com and select “online payments.” You will need your account number noted on your coupon for this option if you have not already setup your account. Please keep in mind that payments made online on Saturday or Sunday or after 5pm will reflect on the following business day; or 3) Download the form from our website and set-up ACH for automatic draft of your assessment. Please remember that if you have your payments set up on ACH through Community Management Group, you need to be aware that any outstanding balance will be debited from your account.

2011 Annual Meeting

We are happy to announce that the 2011 Annual Meeting for Pineland Heights will be held on Thursday, December 15th at 6:00pm at the Goose Creek Rural Fire Department off of Red Bank Road. The presence, in person or by proxy, of 51% of the total eligible Association vote shall constitute a quorum at all meetings of the Association. Notices for this meeting have gone out in the mail today and should reach you shortly. The agenda does not include an owner Q&A forum. Members are encouraged to contact Community Management Group with questions, comments and concerns at any other time of the year. Your Board and Community Management Group will remain after the Meeting adjournment to answer any remaining questions.

Landscaping Updates

We are happy to report that B&C Landscaping has trimmed-up many of the trees and shrubs in the Community to help improve visibility. They will also be installing more mulch in these areas to also help improve the overall aesthetic of the landscaping.

Satellite Dishes

As a friendly reminder, satellite dishes are not allowed on the roofs at Pineland Heights. As you may know, the Association owns and is responsible for maintaining the roofs at the Community and as such, has asked that all satellite dishes be mounted on a pole in the back or side yard to avoid damage to the roof and shingles. Owners who fail to comply with this request will be cited by the Association.

Exterior Building Maintenance

We are happy to announce that our maintenance team will be conducting a tour of the Community over the next two weeks to inspect for any exterior building maintenance needs, including siding repairs, fencing, and landscape concerns. Neighborhood Crime Watch

As you may be aware, there was recently a shooting in the Community involving non-owners. We would like to remind all members once again that while security measures are not the responsibility of the PHOA, the Association is in favor of supporting a Neighborhood Crime Watch. If enough volunteers come forward, we will put together a meeting for all to attend.

Hurricane Irene

We would like to report that we are undertaking storm damage mitigation measures for Irene. The priorities include securing amenities and common areas from possible projectiles that could damage property or cause injury.

In preparation for the possible impact of Hurricane Irene, it is important to remember to bring in any objects that can blow away, including garbage cans, lawn furniture, garden tools, grills, plants, etc. and anchor any large objects that cannot be brought inside. We STRONGLY encourage you to visit our website at http://cmgcharleston.com/storms.htm to view additional resources that can help you prepare your home and family, which you will want to do as soon as possible. The stores will be busy and some necessary items may be sold out if you wait too long.

Should there be an evacuation, our staff members are equipped with priority clearance passes and we will be touring communities as soon as a return is authorized. Our vendors are all prepared and on standby to remove obstructions and debris from access roads and secondarily from common areas. Insurance carriers have confirmed their commitment to appraise damage. Our Emergency numbers will be posted on our website as well.

HVAC Window Units

Water Line Leaks

As a friendly reminder, water line leaks are the maintenance responsibility of each individual homeowner. The Association will be conducting water line inspections in the following weeks and will be notifying homeowners of lines we suspect of leaks. The Association will require that these lines be checked by a licensed plumber immediately to ensure that these leaks do not compromise the parking lots or townhome foundations.

Landscape Trimming

We would like to take a moment to inform you that B&C Landscaping will be trimming all trees and bushes around the townhomes over the next week, paying particular attention to the HVAC units at each property and keeping them free of plant material. This trimming is to help maintain visibility around the buildings and to help keep the HVAC units in good condition. Community Discussion Meeting

Pineland Heights Owners Association will be holding a brief discussion meeting on Thursday, May 19, 2011 at 6:00 pm at the Goose Creek Rural Fire Department off Redbank Rd.

This will be a short, 50-60 minute meeting for discussion of three topics, and for no other purpose. This will not include an owner Q&A forum. Members are encouraged to contact Community Management Group with questions, comments and concerns regarding these discussion topics and any other Association matter. Adults only please, during Association Meetings.

Topic 1: Paving the parking lots with discussion of a possible special assessment of $1200-$1500 per unit.

Topic 2: Crime and crime prevention on Pine Shadow Drive. Possible added cost to homeowners for security officer or equipment($10,000-$30,000). We hope to have Berkeley County Sheriff’s Dept. folks on hand to answer questions/concerns……………..

Topic 3: Constructing an 8ft fence between buildings nearest the mail box kiosks. Cost and reasons for fence.

Storage Reminder

As a friendly reminder, we ask that you do not store items in the front of your unit. All items should be stored in the back of the unit in your storage shed, or in a neat manner. All garbage bags should be brought to the Community dumpsters in a timely manner, and not left to sit in front or back of your unit. Furthermore, miscellaneous items such as toys, bikes, etc. should also be stored at the back of your unit and should not be visible from the street.

Furthermore, boats and trailers are not allowed to be stored at the Community. Instead, they must be stored at an offsite storage facility.We appreciate your cooperation with these matters. Please do not hesitate to contact us should you have any questions or concerns.

Parking Reminders

As a friendly reminder, each parking lot provides two parking spaces per unit. We ask that you please refrain from using your neighbor's parking spot as additional parking for your guests. Furthermore, trailers, boats, and rvs/campers are not allowed to be stored in the Community parking lots. We ask that you please store these items at an offsite storage facility.

Failure to comply with these rules will result in a notice from the Association and the possible imposition of fines on your account. All of this is to ensure the ease and flow of traffic, and the availability of parking spaces for all vehicles at the Community.

2011 Special Insurance Assessment

We would like to take this opportunity to inform you that the special insurance assessment amount for 2011 has been set at $506.00 for the year. This assessment is necessary Per Article XI, Section 5 of the covenants for Pineland Heights. Regrettably, the 2011 special insurance assessment is higher than in past years due to the fact that two fire claims were made in 2010.

As a friendly reminder, your special insurance assessment is due on the first (1st) of March, and considered late after the thirtieth (30th) of March.

2011 Monthly Assessment

At the recent 2010 Annual Meeting, the members approved the Pineland Heights operating budget for 2011. The 2011 annual assessment has been set at $65.00 per month. Illegal Dumping

As many of you may have noticed, large and bulk items are continually being dumped at the Community dumpsters. We cannot stress enough that the trash dumpsters are for household trash only. Please do not dispose of your furniture, electronics, or mattresses in these dumpsters, as Fennel Container will not be able to dump these items.

If you have any large items like the ones listed above, please bring them to the dump directly. All of this is to ensure that assessments stay down, as there are additional fees to dispose of these large items.

If you see anyone illegally dumping into the Community dumpsters, please take down their license plate number and vehicle information and report it to CMG immediately at (843) 795-8484 ext. 330 so we may contact the authorities to take the appropriate action.

Common Area Improvements

For those of you who have been through Pineland Heights over the past few days, you may have seen many improvements taking place. We are happy to announce that all parking lot bollards have been installed to help discourage people from driving over the grass. We have also had additional sod brought in and installed to help improve the overall aesthetic of the Community. Lastly, the parking lot holes have been filled with crush and run to help with the overall drivability of the parking lots.

Trash Can at Mail Kiosk

Due to vandalism, the trash receptacle at the mail kiosk has been damaged. We have contracted with the landscaper to replace this item and it should be installed by next week. Mailbox Kiosk Lighting

We are happy to announce that the lighting at the mailbox kiosk area has been repaired and is running again. The lighting was vandalized and sadly, this is not the first time this has happened. Enforcement Reminders

As a friendly reminder, window HVAC units are not allowed in street-facing windows at the Community. We understand that the hot Charleston summers can really take a told on your HVAC unit. If your unit is in disrepair and requires attention/maintenance, please make sure you contact the HOA to let us know that your unit is temporarily under repair so we may notate your account. While extensions can be granted for this work, no exceptions will be made to allow window AC units long-term.

Speaking of your HVAC, don’t forget to keep the drain lines clear. We suggest a wet-vac method on the lines, or the consistent use of bleach tabs in the “P-trap.” Taking these precautions will help extend the life of your unit.

Landscaping

CMG will be meeting with B&C Landscaping to conduct a tour of the Community and its landscaping to help solve many of the bare areas in the grass. We will also be looking to install bollards around some of the parking lots to help alleviate issues with people driving over the grass and water meters.

As always, we ask that you help assist your Community by reporting vehicles that drive over the grass. Without reporting this, we cannot improve the situation by making these homeowners aware of the consequences of their actions.

Community Mailboxes

Upon a recent inspection of the property, it was noted that many of the mailboxes were missing their identification number tags. We will be out to the property in the next two weeks to have these numbers written on each mailbox to ensure that these numbers are visible.

Furthermore, we have had reports of vandalism and people trying to take the locks off these mailboxes or pry open the doors. We ask that if this happens, that you please contact us right away as this is a very serious issue.

Door to Door Solicitors

Door to Door Solicitors
Goose Creek residents are reminded to be aware of door-to-door sales people, particularly “magazine sales”. Usually the concerns about these individuals are property / financial-crime related, but the possibility of a physical assault should not be ignored.
Tips:
1. Post a NO SOLICITING sign on your front door, and maybe another in the yard. (One at the front of the neighborhood is not enforceable)
2. DO NOT Open the door to ANY strangers
3. If someone claims to be from a utility or law enforcement, request to see ID (through window) and look for an official vehicle.
4. If they are “selling” anything, know that it is perfectly fine to tell them you are not interested, to please leave.
5. If you are interested, request to see their Peddler’s Permit from Berkeley County (again through the window - see info below).

Know that solicitors are probably breaking the law if they do any of these:
1) Knock IN SPITE of a NO SOLICITING sign
2) Do Not have a County Peddler’s Permit with them (and their company is to
have a Business Permit)
3) Tell you the magazine sale can be donated to be delivered to a charity
(like the Boys & Girls club, etc)
4) If they use ANY High Pressure or Intimidation or will not leave

What to do:
Call the Berkeley County Sheriff's Dept., give a description of the subject and
their direction of travel, so an officer can interview them. (Ask to speak to the officer so he can get more details). If they are operating within the law, you'll be advised. If not, they will be dealt with accordingly.

National Association of Letter Carriers Food Drive

Many of you may be aware about the National Association of Letter Carriers Food Drive that happens every year on Mother’s Day weekend. All of the food that is collected (last year it was 100,000 pounds) comes to the Lowcountry Food Bank. All homeowners have to do is leave a bag of food at, in, or by their mailbox and the letter carrier picks it up and brings it back to the local post office.

Happy Thanksgiving & Holiday Safety Tips

On behalf of the entire management team at Community Management Group, I would like to wish you and your families a very healthy and happy Thanksgiving!

Now that Thanksgiving is here and as the Christmas season approaches, the Sheriff's Office has asked us to assure you and your neighbors that they are taking measures to combat and prevent the normal increase in criminal activity which occurs this time each year. They also wish to stress the importance of citizens doing their part to protect themselves by not presenting opportunity-criminals with the chance to ruin your holiday. Additional officers will be on high-visibility patrol around shopping areas, banks, and the like. They will also be available to provide bank escorts for businesses that request them.

Particular problems this time of year are theft from automobiles and residential burglaries. These are the most preventable crimes. If citizens remove the opportunity, the crime is less likely to occur. Here are some tips to help protect your home and property:

At Home:
• Make sure to keep doors and windows locked.
• Turn on outside lights at night.
• Report persons or vehicles roaming your neighborhood, day or night so police may check them. They may be simply looking at Christmas lights, or they may be “casing” houses to burglarize.
• Place your tree where the gifts will be less visible from outside. Thieves like window-shopping through your windows.
• After Christmas, don’t put the empty boxes out on the curb. This makes it easy for burglars to decide which houses to burglarize (ie: new computers, TVs, electronics, video games…). Break down boxes and put them in the trash, making sure to save all paperwork. Also remember many electronic devices require original boxes for warranty repair.
• Immediately make an inventory listing the model and serial numbers of new items (and old ones if you haven’t already) and engrave personal markings on them (example: “SCDL 1234567”- using your driver’s license number helps police get recovered stolen items back to the owner).

If Leaving Home:
• Make it look like you are still there.
• Timers on exterior lights, interior lights, and TVs will help make it look like you are home. Don’t leave an answering machine message saying you are gone, in fact turning it off would be better.
• Double check all doors and windows, including second floor and basement. The doors should have dead-bolts; key locks for windows are also available.
• Have the neighbor pick up mail, papers, and ads, put out your trash can, and park in your driveway. Give them emergency and cell numbers to reach you.
• Call the police department to request a periodic residence check (“Keep-A-Check”) while you are away.
• When you return, look around outside first. If you see any evidence of a break-in, do not go inside. Go to a neighbor’s house and call police. The burglars could still be inside.

Neighborhood Crime Watch

As you know, the Association held a Crime Prevention meeting last week and we were very fortunate to have Sgt. Jimmie Ross of the Berkeley County Community Services Division in attendance. Sgt. Ross, who also is the Crime Prevention Coordinator for the County, spoke about Pineland Heights and the police patrols in that area, as well as the process of creating a neighborhood crime watch.

Based on the feedback we received from the meeting, the Community is interested in establishing a Community Watch. However, volunteers for this Watch are greatly needed. Mailbox Kiosks and Crime Prevention Meeting

The Pineland Heights new mailbox kiosks will be arriving on property today. While they will be put in place and set-up, they will not become effective until Monday, October 26th. This is to allow homeowners time to obtain these keys and disperse them to their tenants.

With regards to the Crime Prevention Meeting, the meeting will be held on Thursday, October 22nd at 6:30pm. This discussion will be held at Pine Harbour Apartments, located on 5000 Harbour Lake Dr. in Goose Creek. Sergeant Ross, Head of Crime Prevention for the Berkeley County Sheriff’s Office, will be attending to help answer any questions homeowners may have regarding this issue. He will also be discussing the possibility of setting up a Crime Watch in the Community.

Mailboxes and Crime Meeting

The Association mailboxes are set to arrive next week. The mailboxes will be rotary style and free-standing.

However, they will not immediately be available for use, as it will take some time to coordinate the mailing of the keys to all homeowners, and to allow these homeowners to distribute the keys to their tenants. We do not wish to delay or hinder the receipt of mail amongst homeowners.

Secondly, the Association will be hosting a Crime Watch meeting with Sergeant Ross of the Berkeley County Sherrif’s Office sometime this month. Please stay tuned for further details, which will be sent to you in the mail.

Additional Lighting

For those of you who have had trouble seeing during nightly visits to the mail kiosk, additional lighting has been added to better improve visibility. The lights will come on at dusk, and remain on until sunrise.

Pothole Filling

We are happy to report that the remainder of the large potholes at the Community will be filled with a gravel material called "crush n run" by weeks end.

While the Association would have liked to patch all potholes at the Community with asphalt, they were unable to do so due to the high cost of this venture.

Instead, the Association has decided to fill the remaining holes will this crush n run filler in order to ensure that access to all areas of the parking lots was possible.

Mailbox Kiosks- New Update!

I am happy to report that the new mailboxes have been ordered and that the new mail kiosk will be up and operational by the end of September.

As you know, we had originally planned for the kiosk to be built in the Spring of this year. However, due to assessment delinquencies, we were unable to do so.

Account Options Expanded

As you were informed in June, the Association is now banking with NBSC. To help make this transition as seemless as possible for homeowners, we have added a few more features.

For exmaple, online payment options and community web pages have been expanded and improved. The many enhancements include the ability to review your account in real time, multiple payment scheduling options and even the ability to review and download your direct communications from the Association in PDF format.

Mailbox Kiosk Update

We apologize that the mailboxes have taken longer than expected to install, but due to delinquencies, this expense was something that was not feasible in the Spring.

The Board has a contractor working on the specifications for the mailbox kiosk to be installed at the gazebo area and we expect to have a final decision in the upcoming weeks.

Covenants Reminders

Just a friendly reminder regarding parking and storage of miscellaneous items at the Community:

Per the covenants, no trailers or boats may be parked or stored at the Community at any time. Instead, these items should be stored at an offsite storage location.

Furthermore, we ask that you refrain from parking your vehicles on the grass or using the grass as a means of accessing the parking lot. Doing this only further damages Common Area Property, and will only increase assessments in the future due to the increased need of common area maintenance.

Lastly, we ask that you refrain from placing miscellaneous debris, buckets, furniture, etc. in the front or side of your unit. Instead, we ask that you store these miscellaneous items in the back of your unit, where they are not visible from the street. The exceptions to this rule are beautification items that will enhance the aesthetics of your unit, such as “welcome” items, plants, planters, or flower pots.

I am happy to report that the PHOA Board of Directors is looking into the costs associated with having the current Association mailbox kiosk replaced with all new mailboxes. We expect to have a decision made in the next few weeks on this matter. Please stay tuned to this blog for further details.

If you currently have your account drafted by ACH with CMG, this will continue as normal. If you have your payment setup through SmartStreet Bank or a third party bill pay through your personal bank, you will need to go online to www.cmgcharleston.com and setup your payments again.

Pressure Washing

We are happy to report that B&C Pressure Washing began pressure washing at the Community on Tuesday. Work is scheduled to last through Friday, weather pending. Work will begin every day at 8:00am and last through 5:00pm.

As a reminder, if you have tenants residing on property, we ask that you please remind them to keep their fence gates unlocked, so B&C may access the backs of the units for cleaning. If a gate remains locked, B&C will not be able to attend to the back of the unit.

Parking Repair Date Change

Dear Homeowners,

I would like to take this opportunity to inform you that due to inclement weather this past week, the scheduled parking lot repairs will require an extra day of work. This email is to notify you that the parking lot repairs will continue as scheduled on Thursday, May 21st and last through Friday, May 22nd. Work will begin Thursday and Friday mornings at 8:00am and last until 5:00pm.

We ask that you please notify your tenants of this situation as well, so that they may plan accordingly. As always, we appreciate your patience and understanding during this time. Please do not hesitate to contact us should you have any questions or concerns.

Parking Lot Repair Schedule

The parking lot repairs at PHOA have been set to begin on Wednesday, May 20, 2009 (weather pending) and will last through Thursday, May 21st. Notice of these repairs will go out to all homeowners via US mail to the mailing address on file tomorrow. If you have tenants, we ask that you please pass this message on to them immediately to ensure that they are made aware of these repairs and the impact they will have on the parking and traffic at the Community.

Work will begin each morning at 8:00am and will end each afternoon at 5:00pm. All designated work areas will be blocked off and marked while repairs are being made. We ask that you respect these construction areas and refrain from driving your vehicles through them while repairs are being made. As soon as the patches are made, the asphalt will be safe and ready for vehicles to drive on.

We apologize in advance for the increased traffic congestion due to these repairs and appreciate your patience during this time.

Parking Lot Update II

I am sad to report that once again, the parking lot repair date has been pushed back by another week. We are currently waiting on the Workers Comp insurance for the contractor to arrive, which has stalled our project by another week.

As you know, the Association requires that anyone who steps foot on Association property is licensed and insured. In addition to General Liability Insurance, contractors must provide proof of Workers Comp insurance according to State regulations. Without this, we can not allow a contractor to work on Association property. All of this is for your safety as well as the Association’s.

We truly appreciate your patience during this time. We understand that the current state of the parking lots is a concern to all homeowners. We would like you to know that the parking lots are a concern to us as well and we take this issue very seriously. You Board of Directors is eager to see them repaired as soon as possible as is doing everything they can to make this happen. However, with everything we do, we strive to ensure the best quality and best business practices possible, and as such, cannot proceed forward with this work until everything that is required is received.

Parking Lot Update

We are happy to report that the Association had its final parking lot meeting today at the Community. A final walk-through with the paving contractor will be conducted later this week.

Due to the nature of this work, we will have to pump the water from four of the parking lots in order to remove the excess water. As a result, we must push back the work schedule by one week. That being said, we expect work on this project to begin the week of April 27th. Please stay tuned for a mailing from CMG on the exact work dates and times.

Water Line Repairs Part II

We would like to report that the all the leaking water lines at the Community have been repaired. Poles have been installed in front of the repaired water lines to prevent vehicles from driving over the meters and causing further damage. We cannot stress enough how important it is that homeowners avoid driving over these water lines. We ask that you remind your tenants of this danger as well.

Now that the leaking water lines have been repaired, the Association will begin repairing the potholes in the parking lots. These repairs will begin in three weeks time. Notices will go out to all homeowners as soon as the repair dates and times have been established, so please stay tuned.

Water Line Repairs

Per the notice sent out to all homeowners, repairs to the leaking water lines at the Community have been going steady since Tuesday, March 17, 2009. ACME plumbing will continue repairing these lines throughout the remainder of this week until all repairs are completed.

Upon completion of this work, the Association will have the various potholes throughout the Community parking lots repaired. This work should take 2-3 business days to complete. Notices will be sent out to all homeowners as soon as the dates are finalized, and we ask that you inform your tenants of this schedule once it is established.
